Switching · From Pipedrive

Keep the pipeline meaning, relationships and next actions intact.

A Pipedrive move should review people, organisations, deals, activities, pipelines, fields and connected tools together. Current export access and destination support must be tested; this page does not promise a one-click or like-for-like migration.

Pipedrive mapping evidence

Preserve people, organisations, deals and activities as related work.

A controlled sample helps expose lost relationships, unclear stages and missing next actions.

Illustrative exampleSample records and field names are fictional. A real migration needs source-specific reconciliation.

What the destination needs

Move the relationships, not just the rows.

A useful migration preserves the meaning of contacts, active work, ownership and next actions. It also records what cannot move cleanly and who decides the treatment.

Capability 01

Import and export

Moves supported records through structured files, with mapping and validation needed before relying on the result.

How it works
Stores or organises supported business data under configured fields, permissions and record rules.
Why use it
Supports controlled migration and operational extracts when the data is prepared and reconciled.
Plan for
The platform does not make imported, duplicated or incomplete data accurate without review. Bulk migration requires mapping and reconciliation; do not treat a completed import as proof of accuracy or reversibility.
Your team owns
A data owner must define the record model and resolve quality, ownership and access exceptions.
Capability 02

Companies

Groups people and related information around an organisation rather than treating every person in isolation.

How it works
Stores or organises supported business data under configured fields, permissions and record rules.
Why use it
Helps business-to-business teams see contacts in the context of the company they work for.
Plan for
The platform does not make imported, duplicated or incomplete data accurate without review.
Your team owns
A data owner must define the record model and resolve quality, ownership and access exceptions.
Capability 03

Opportunities

Represents a potential sale or deal linked to a contact, value, owner and pipeline position.

How it works
Tracks a potential deal, stage, owner or task using configured pipeline and record rules.
Why use it
Shows which customer conversations are active commercial work rather than general contacts.
Plan for
Pipeline position is only reliable when users and workflows update it consistently.
Your team owns
A responsible owner must qualify the deal, choose next actions and resolve stale or disputed status.
Capability 04

Pipelines

Defines an ordered sales process through which opportunities can be reviewed and moved.

How it works
Tracks a potential deal, stage, owner or task using configured pipeline and record rules.
Why use it
Makes the sales process visible so follow-up is based on stage rather than memory.
Plan for
Pipeline position is only reliable when users and workflows update it consistently.
Your team owns
A responsible owner must qualify the deal, choose next actions and resolve stale or disputed status.
Capability 05

Tasks

Creates assigned, dated and optionally recurring actions against contacts or opportunities.

How it works
Tracks a potential deal, stage, owner or task using configured pipeline and record rules.
Why use it
Turns the next step into owned work instead of leaving it inside notes or inboxes.
Plan for
Pipeline position is only reliable when users and workflows update it consistently.
Your team owns
A responsible owner must qualify the deal, choose next actions and resolve stale or disputed status.

Understand the current sales process

Separate the useful pipeline from habits that should not be copied.

Ask which stages represent genuine decisions, which activities drive follow-up and where the current setup creates friction.

Pipeline purpose

Document each pipeline, stage definition, entry condition, exit decision and owner expectation.

Active work

Identify open deals, overdue activities, unassigned records and exceptions that need special cutover treatment.

Required future capability

Confirm communication, booking, automation and reporting needs separately rather than assuming bundled equivalence.

Map the relationship model

Preserve who, which organisation, which deal and what happens next.

Flat CSV files can lose relationships unless identity and linking rules are designed before import.

People and organisations

Define identity, duplicates, ownership and how people relate to organisations and multiple opportunities.

Deals and stages

Map pipelines, stages, values, status, lost reasons and custom fields to approved destination definitions.

Activities and notes

Decide which tasks, calls, meetings, notes, files and history are required, exportable and useful.

Destination pipeline

Test stage meaning and open work after migration.

The board remains illustrative: stages, owners and actions need actual user reconciliation.

Reason recorded

Illustrative exampleFictional opportunities. Stages and rules should reflect the business and be approved before use.

Recreate the operating support

Activities, automations and reporting need their own acceptance tests.

A visual pipeline can look correct while reminders, ownership rules or management definitions are missing.

Next-action discipline

Test how activities, due dates, reminders and completed outcomes appear for ordinary and overdue work.

Automation and communication

Specify each trigger, message, owner, delay, stop rule, consent need and human escalation before rebuilding.

Reports and definitions

Recreate only measures with clear source fields, time windows, exclusions and decision use.

Controlled move

Use a representative sample and protect open opportunities at cutover.

The highest-risk records are often the ones the team is actively working, not the oldest rows in the export.

Sample and exceptions

Test duplicates, multiple deals, custom fields, missing owners, overdue activities and unusual relationships.

Human acceptance

User reconciliation

Ask actual users to find contacts, resume open deals, complete activities and explain the new reports.

Freeze and fallback

Agree source freeze, final delta, access change, validation, retained source evidence and rollback responsibility.

Questions about this page

Useful answers, without the sales fog.

1. Can people, organisations, deals and activities all be migrated?

They should be assessed separately. Current export formats, relationship preservation, activity/history support and destination behaviour must be proven with the actual accounts.

2. Will our pipeline look exactly the same?

Not necessarily. Preserve useful business meaning, but redesign stages or fields where current labels, ownership or decision rules are unclear.

3. Can Pipedrive automations be imported directly?

No direct automation-transfer claim is made. Existing rules should be documented, risk-reviewed, rebuilt where appropriate and tested against representative journeys.

4. Is migration included in the subscription?

The checkout does not state that discovery, cleaning, mapping, import, workflow rebuild, testing or cutover support is included. Agree the required work separately.
