Switching · From Zoho CRM

Unpack the modules, rules and permissions before moving the records.

A Zoho CRM setup may contain modules, layouts, fields, relationships, workflows, permissions and connected applications with organisation-specific meaning. Current export and destination compatibility must be verified before any migration commitment.

Zoho mapping evidence

Make modules, fields and unresolved transformations visible.

Customisation and cross-module relationships need a specification rather than a generic CSV promise.

What the destination needs

Move the relationships, not just the rows.

A useful migration preserves the meaning of contacts, active work, ownership and next actions. It also records what cannot move cleanly and who decides the treatment.

Capability 01

Import and export

Moves supported records through structured files, with mapping and validation needed before relying on the result.

How it works
Stores or organises supported business data under configured fields, permissions and record rules.
Why use it
Supports controlled migration and operational extracts when the data is prepared and reconciled.
Plan for
The platform does not make imported, duplicated or incomplete data accurate without review. Bulk migration requires mapping and reconciliation; do not treat a completed import as proof of accuracy or reversibility.
Your team owns
A data owner must define the record model and resolve quality, ownership and access exceptions.
Capability 02

Custom objects

Defines additional record types and relationships for information that does not fit contacts, companies or opportunities.

How it works
Stores or organises supported business data under configured fields, permissions and record rules.
Why use it
Lets a configured account represent assets, properties, cases or other business-specific records.
Plan for
The platform does not make imported, duplicated or incomplete data accurate without review.
Your team owns
A data owner must define the record model and resolve quality, ownership and access exceptions.
Capability 03

Custom fields

Adds structured fields to supported record types so a business can capture information it actually needs.

How it works
Stores or organises supported business data under configured fields, permissions and record rules.
Why use it
Replaces important notes and spreadsheet columns with searchable, reusable data.
Plan for
The platform does not make imported, duplicated or incomplete data accurate without review.
Your team owns
A data owner must define the record model and resolve quality, ownership and access exceptions.
Capability 04

Companies

Groups people and related information around an organisation rather than treating every person in isolation.

How it works
Stores or organises supported business data under configured fields, permissions and record rules.
Why use it
Helps business-to-business teams see contacts in the context of the company they work for.
Plan for
The platform does not make imported, duplicated or incomplete data accurate without review.
Your team owns
A data owner must define the record model and resolve quality, ownership and access exceptions.
Capability 05

Opportunities

Represents a potential sale or deal linked to a contact, value, owner and pipeline position.

How it works
Tracks a potential deal, stage, owner or task using configured pipeline and record rules.
Why use it
Shows which customer conversations are active commercial work rather than general contacts.
Plan for
Pipeline position is only reliable when users and workflows update it consistently.
Your team owns
A responsible owner must qualify the deal, choose next actions and resolve stale or disputed status.

Discover the configured system

Do not treat a customised CRM as a generic contact database.

Inventory what is used, who depends on it and which connected Zoho or third-party products sit around the CRM.

Modules and layouts

List standard and custom modules, layouts, related lists, validation rules and the teams that use them.

Connected applications

Identify forms, campaigns, email, finance, support, telephony, analytics and external connections without assuming replacements.

Business-critical journeys

Trace representative enquiries, opportunities, service hand-offs and reports through the current configuration.

Data model and quality

Map meanings, relationships and option values — not only field names.

Customisation can make similarly named fields carry different rules, formats and dependencies.

Records and relationships

Define identity, ownership, parent-child links, lookups, related records and duplicates across the selected modules.

Fields and values

Map types, mandatory rules, picklists, currencies, dates, calculated values and deprecated fields to approved destinations.

History and files

Decide what activity, audit, communication, attachment and consent evidence is required and technically available.

Access redesign

Review roles and connected responsibilities before cutover.

Existing permissions are evidence to assess, not an instruction to reproduce broad access.

Rules and access

Permissions and automation need an explicit redesign and test.

Moving records without these operating controls can expose information or leave work silent.

Roles and sharing

Translate actual access needs into destination roles; do not reproduce broad permissions simply because they already exist.

Workflows and approvals

Document triggers, conditions, actions, delays, approval points, stop rules and failure handling before any rebuild.

Templates and communications

Review message content, sender identity, consent, links and ownership instead of copying obsolete templates.

Test and cut over

Reconcile a representative cross-module sample before the final move.

The sample should expose custom relationships, access differences and automation dependencies — not only easy contacts.

Representative import

Include standard and custom records, relationships, missing values, duplicates, owners and permission-sensitive examples.

Human acceptance

Operational acceptance

Users check records, access, pipeline movement, communication, reporting and exception handling against the specification.

Controlled cutover

Agree freeze, final delta, connected-system changes, user access, reconciliation, source retention and rollback authority.

Questions about this page

Useful answers, without the sales fog.

1. Can custom Zoho modules and fields move to 121 CRM?

No blanket compatibility claim is made. Each module, field type, relationship, layout rule and destination requirement needs current account-level assessment and sample testing.

2. Will Zoho workflows and approvals continue automatically?

Not by assumption. They should be documented and either retired, redesigned or rebuilt under a separate tested specification.

3. How are roles and permissions handled?

Access should be redesigned around current business need and tested with representative users. Existing permissions are evidence to review, not an instruction to copy them unchanged.

4. What does the migration cost?

No migration price is approved here. Cost depends on discovery, data, customisation, integrations, rebuilding, testing, cutover and support scope.
